Organizing OneNote: Building a System That Works for Real Life

When you’re juggling ideas, projects, and inspiration, it’s easy for your digital workspace to turn into a cluttered attic of half-finished thoughts. I’ve tried a lot of tools to manage that chaos — and after experimenting with Microsoft Loop and OneNote, I’ve found that OneNote still fits best for how I think and work.

Loop is sleek and collaborative, but it’s cloud-only and its search features feel limited. OneNote, on the other hand, gives me the best of both worlds: local storage, cloud sync, and a familiar interface that’s been evolving since 2003. It’s like a trusted old notebook that’s learned a few new tricks.

To bring order to the chaos, I’ve adopted the PARA system developed by Tiago Forte — short for Projects, Areas, Resources, Archives. It’s simple, flexible, and surprisingly powerful.

Each notebook now includes tabs for:

  • Projects — goals, milestones, and progress notes
  • Areas — ongoing tasks and maintenance routines
  • Resources — research, tools, and inspiration
  • Archives — completed work and reference material

And yes, I renamed my old “Archive” notebook to Junk Drawer — because let’s be honest, that’s what it really is.
